Why your converted bank statement totals don't match
You converted a PDF statement to a spreadsheet, added up the rows, and the numbers do not land on the closing balance. Here are the usual causes and how to find them.
The check
Opening balance + total credits − total debits should equal the closing balance. The difference tells you a lot. Call it the gap.
Common causes
A row was missed
Page breaks, multi-line descriptions and headers repeated on every page can make a converter skip a transaction. If the gap equals exactly one amount that appears on the statement, that row is probably missing. If the statement prints running balances, the missing row is where a row's balance stops following from the previous one.
A sign was flipped
A debit read as a credit moves the total by twice the amount. If the gap is exactly double one transaction, look for that transaction. This happens with parentheses for negatives, trailing minus signs, or CR/DR markers.
Columns were mixed up
Withdrawals and deposits sit side by side, and a narrow column can push an amount into the wrong one. Check that the debit and credit columns are assigned the right way round.
Date order confusion
03/04 can be March 4 or April 3. This does not change the totals but can reorder rows and make a running-balance check look wrong. Set the date format explicitly.
Duplicates and pending items
Some statements list pending or reversed items twice. Compare against the bank's own summary totals if it prints them.
A practical routine
- Compute the gap.
- Check whether it equals one amount (missing row) or double one amount (flipped sign).
- If running balances exist, find the first row where balance does not follow.
- Fix the row, recompute, and only then import.
PennyTie runs these checks automatically and points at the rows to look at, including a suggested missing-row amount.
Try it: open PennyTie, drop a text-based statement PDF (or use the built-in fictional sample) and see whether the totals tie out. Free for statements up to 5 pages; nothing is uploaded.
