How to convert a bank statement PDF to CSV, and check the result

Most banks let you download a PDF statement but not always a CSV. You can still get a spreadsheet-ready file, as long as the PDF is text-based. The part people skip is checking that nothing was dropped or misread.

1. Check that the PDF has real text

Open the PDF and try to select a line of text with your mouse. If you can highlight words, the PDF has a text layer and can be converted accurately. If the page behaves like a picture, it is a scan and needs OCR first. PennyTie does not do OCR and tells you when a file has no readable text.

2. Extract the transactions

A converter has to rebuild each row from the position of the words on the page: a date, a description that may wrap onto a second line, and one or two amount columns. Layouts differ between banks. Some print separate Withdrawals and Deposits columns, others a single signed Amount, and some show negatives in parentheses. Dates may be month/day or day/month.

3. Prove the totals

Do this before importing anything into your books. Take the opening balance, add all credits, subtract all debits, and compare the result with the closing balance printed on the statement. They must match to the cent. If the statement also prints a running balance on each row, check that every row follows from the one before it. A mismatch means a row was missed, an amount was misread, or a sign was flipped.

4. Fix and export

Correct the flagged rows by hand, then export a CSV with one row per transaction: date (YYYY-MM-DD), description, signed amount, and a balance column if you want one. Text cells that start with = + - or @ should be escaped so a spreadsheet does not run them as formulas.

Doing it with PennyTie

PennyTie does steps 2 to 4 in your browser. It rebuilds the rows, runs the balance check, marks the rows that do not add up (including a likely missing row and its amount), lets you edit them, and exports the CSV and a verification report. The file is processed locally and is never uploaded.

Try it: open PennyTie, drop a text-based statement PDF (or use the built-in fictional sample) and see whether the totals tie out. Free for statements up to 5 pages; nothing is uploaded.
